Joint Matters Calibration Services is a fast-growing, ISO/IEC 17025:2017 accredited laboratory based in Los Angeles. As the first and only LGBTBE-certified calibration company in the U.S., we provide accredited calibration services and laboratory management consulting to healthcare, biotech, pharmaceutical, and research organizations. We’re a small, mission-driven team that values precision, service, and adaptability—and we’re looking for an organized, proactive, and people-savvy Office Manager to help us grow smoothly and sustainably.
The Role:
As Office Manager, you’ll be the heartbeat of our operations—ensuring our daily administrative, scheduling, and client coordination functions run efficiently. This role blends traditional office management with light project coordination and client communication. You'll work closely with our CEO, technicians, and business development lead to support client success and internal performance.
Key Responsibilities:
Manage daily office operations including scheduling, invoicing, and supply ordering
Serve as the first point of contact for client inquiries and service scheduling
Maintain technician calendars and coordinate onsite service logistics
Prepare calibration documentation packets and maintain digital filing systems
Track client service cycles and follow-up needs using CRM tools
Support onboarding of new vendors and clients, especially in supplier diversity programs
Assist with project coordination tasks related to lab consulting and compliance work
Contribute to a culture of inclusion, precision, and high client satisfaction
You’re a Great Fit If You:
Have 3+ years of experience in office administration or operations in a small business or technical services setting
Are exceptionally organized, detail-oriented, and calm under pressure
Are tech-savvy with comfort using CRM systems, cloud-based tools, and digital calendars
Have strong written and verbal communication skills (bonus if you’re bilingual)
Thrive in a startup environment and enjoy wearing multiple hats
Have a passion for inclusive business practices and want to be part of something meaningful
Bonus Points If You Have:
Experience in the lab, healthcare, biotech, or calibration industry
Familiarity with ISO/IEC standards or quality management systems
Exposure to supplier diversity programs or certifications (LGBTBE, MBE, etc.)
